uniFLOW for End-Users & IT Support

In this section, we will show you how to use uniFLOW online to print, scan and copy documents.

Getting Started

  • Before you can print, you might need to set up the SmartClient.


    Check if your SmartClient is connected:
    1. Click the arrow to open the Windows ‘system tray’.
    2. Check if the uniFLOW SmartClient is connected by hovering over the icon with your mouse: the text ‘uniFLOW SmartClient : Connected!’ appears.
    If the SmartClient is connected, you are ready to print.


    If you cannot find your SmartClient in the system tray, you need to set up the SmartClient:
    1. Ensure all applications are minimized or closed.
    2. At your PC, press the search icon and search for ‘SmartClient’.
    3. Click on uniFLOW SmartClient.
    4. Select Continue with <CompanyName> and login*.
    5. Press Start.
    Your SmartClient is now set up!
    *We use here as an example. The name differs per Canon customer.

  • When your account in uniFLOW Online has been created, you will receive an email with your uniFLOW Online PIN code.


    With this code you can access your secure print queue and other options on the multifunctional device:
    Go to the printer and select PIN code.
    1. Enter your PIN code.
    If configured in your office, you can also login using your badge. Guests can use a guest code to login.
    Please refer to the 'Find Your Pincode' section below if you cannot find the email with your PIN code.

  • Forgot your uniFLOW Online PIN code? No problem, you can always find it on your personal dashboard.



    1. Go to https://(CompanyName).eu.uniflowonline.com*
    2. Select Continue with CompanyName*.



    * We use (CompanyName) here as an example. The name differs per Canon customer.

    Your personal uniFLOW Online dashboard will open.




    3. Under Identities, click on the row for PIN.
    4. Press the three dots at the end of the row and choose Show PIN code.

  • You can enter your PIN code as follows:


    1. In the left column of the screen, click on the third icon.
    2.Enter your PIN code.



    After unlocking the device with your code or badge you can now use Copy, Scan or Secure Print via the large buttons on the screen.
    You can also use the smaller Quick Access buttons on top of the screen.

  • Once you have received your PIN code, you can also register your access badge*:


    1. At the printer, hold your access badge over the card reader.
    2. When prompted, enter your PIN code (Card Registration code) and press Login or Register Card.
    Your access badge is now linked to your account in uniFLOW Online. Next time you want to print or scan, you can log in directly with your badge!
    * Printing via your badge might not be available in your office. Ask your IT Support team if you are not sure.

  • With uniFLOW Online you cannot only scan to your email address, you can also scan directly to OneDrive, SharePoint, Teams and even to your desktop!



    Before you can use these scan options, you have to connect your uniFLOW Online account to your Office 365 account:
    1. Go to https://(CompanyName).eu.uniflowonline.com*
    2. Select Continue with CompanyName*.
    *We use here as an example. The name differs per Canon customer.



    Your personal dashboard in uniFLOW Online will open.
    3. Under Notifications, select the Connect options.
    4. Click Authorize and sign into Office 365.
    The system will guide you through the usual Microsoft log-in process.
    Note: It is not possible to connect all accounts in one go. Please connect and authorize them one-by-one.


    After completing the Microsoft log-in process, you will go back to your uniFLOW Online dashboard.
    A confirmation message will appear.
    Repeat the steps for each scan option you want to use. You are now ready to start scanning!

  • With the uniFLOW app on your mobile device, you can print from your mobile.



    1. On your mobile, go to your app store and install the uniFLOW Online Print & Scan app.
    2. Open the app and select Next.
    3. Connect the app to your uniFLOW Online account.



    A 6-digit secret code will be shown. With this code, you can register your mobile (see next steps, how to do this).



    5. At your PC, go to https://(CompanyName).eu.uniflowonline.com*.
    Click on the mobile icon.
    * We use here as an example. The name differs per Canon customer.



    6. Enter the 6-digit secret code and click Next.



    7. On your mobile, press Scan QR code*
    * Make sure the uniFLOW Online app has permission to access the camera.



    8. Scan the QR code.
    Your mobile is now connected to uniFLOW Online.
    Your personal dashboard will be shown in the app.
    9. At your PC, click Close.

Print

  • You can use the same print queue in every office with a printer connected to uniFLOW Online:


    1. At your PC, select the printer CanonCloud*.
    2. Change print settings if needed.
    * We use the print queue name ‘CanonCloud’ here as an example. The name may differ in your office.



    3. Go to the printer and log in using your PIN code or access badge.
    4. Select Secure Print.
    5. Select your print job(s) and press the blue Print jobs button.
    6. When complete, log out by pressing Log out or move your access badge over the card reader again.


    You can also delete the print job or edit the print job before printing it.

  • Guests can also use uniFLOW Online for printing. All regular Office documents can be printed, including PDFs and several image formats.



    It works as follows:
    1. Send the document(s) which you want to print as an email attachment to the email address which has been configured for your company, for example: secureprint@CompanyName.com
    After you have send your email, a guest code will be emailed to you.


    2. Go to a printer and enter your guest code.
    The print queue containing the documents which were sent by email, appears.
    3. Select the document(s) and press Print Jobs.
    The “Enter your Guest code” option might not be available in your office, ask your IT Support Team if in doubt.

Scan

  • With uniFLOW Online you cannot only scan to your own email address, but you can also scan directly to OneDrive, SharePoint, Teams and even your desktop.*
    * Not all scan options might be available in your office.


    First, you have to connect your uniFLOW Online account to your Office 365 accounts. Please refer to ‘Enable your scan options’ within the ‘Getting Started’ section to find out how.
    When you have connected your accounts, you can scan as follows:
    1. At the printer, log in with your badge or PIN code.
    2. Select Scan.


    3. Select a scan option - for example Teams - and follow the steps on the printer.
    4. Log out when you've finished at the device.

  • With the Scan to Myself option, you can scan documents and send them to yourself by email.



    1. At the printer, log in with your badge or PIN code.
    2. Select Scan.
    Note: The screenshots used on this page might be slightly different from what you see on the printer.



    The scan profiles appear.
    3. Select Myself.
    Note: scan buttons might be named differently depending on your configuration.



    4. Place document in the feeder or on the glass.
    5. Change settings if required.
    6. Press Start scan.



    7. Review document and settings and press Send to start the scan.



    8. The document is scanned to your email inbox, close the screen.



    9. Do not forget to log out!

  • With the Scan to OneDrive option, you can scan documents and save them directly in your OneDrive.



    Tip: connect your uniFLOW Online account to OneDrive first! Find out how to do this in the 'Enable Your Scan Options' section above.
    1. At the printer, log in with your badge or PIN code.
    2. Choose the Scan function.
    Note: The screenshots used on this page may be slightly different from what you see on the printer.



    The scan profiles appear.
    3. Select OneDrive.



    4. Place documents in the feeder.
    5. You can Change the OneDrive Scan location (1) and the scan settings (2).
    6. Press the green Start button or press Start scan.



    7. Confirm your settings and press Send.



    8. The document is scanned to your OneDrive location. Close the screen.



    9. Do not forget to log out!

  • With the Scan to Teams option, you can scan documents and save them directly in Teams.



    Tip: Connect your uniFLOW Online account to Teams first! Find out how to do this here.
    1. At the printer, log in with your badge or PIN code.
    2. Choose the Scan function.
    Note: The screenshots used on this page may be slightly different from what you see on the printer.



    The scan profiles appear.
    3. Select Teams.



    4. Place documents in the feeder or on the glass and make any settings required.
    5. You can Change the Teams Scan location (1) and the scan settings (2).
    6. Press the green Start button or press Start scan.
    Thumbnails of the scan will display on the screen.



    7. Confirm your settings and press Send.



    The Microsoft Teams message screen is shown.
    You can change the Subject and the Message, or leave the defaults.
    8. Press Save.



    Scan parameters will be saved.
    9. Press Send.



    The document is scanned to your Teams Channel.
    10. Close this screen.



    11. Do not forget to log out!

  • With the Scan to SharePoint option, you can scan documents and save them directly in SharePoint.



    Tip: Connect your uniFLOW Online account to SharePoint first! Find out how to do this here.
    1. At the printer, log in with your badge or PIN code.
    2. Choose the Scan function.
    Note: The screenshots used on this page may be slightly different from what you see on the printer.



    The scan profiles appear.
    3. Select SharePoint.



    4. Place documents in the feeder or on the glass and use any settings required.
    5. You can change the Teams Scan location (1) and the scan settings (2).
    6. Press the green Start button or press Start scan. Thumbnails of the scan will display on the screen.



    7. Confirm your settings and press Send.



    The Select SharePoint Document library / Folder is shown.
    You can now choose the Library / Folder that you want to scan to.
    Note: You can only scan to SharePoint sites you have access to!
    8. Press Select.



    If you have selected a destination to which you do not have access, you will need to choose an alternative location.
    9. Press Browse.



    In the next step you can check your destination and change your file name.
    10. Press Next.



    This optional step lets you change the metadata of your scan.
    Note: depending on the configuration, you might not see this step.
    11. Press Save.



    The document is scanned to the SharePoint location.
    12. Close this screen.



    13. Do not forget to log out!

  • With the Scan to Exchange option, you can scan documents and send them to other people by email. The allowed recipients are configured by you IT administrator.



    1. At the printer, log in with your badge or PIN code.
    2. Choose the Scan function.
    Note: The screenshots used on this page may be slightly different from what you see on the printer.



    The scan profiles appear.
    3. Select Exchange.
    Note: The text below the logo might also be “Mail” or ''Other'' depending on your configuration.



    4. Place documents in the feeder or on the glass and make any settings required.
    5. You can add the email scan location (1) and the scan settings (2).
    6. Press the green Start button or press Start scan. Thumbnails of the scan will display on the screen.



    You can add email addresses as follows: (You have Pressed (1) in the previous screenshot).
    7. Press the + sign (3) to enter the E-mail address manually.
    8. Or you can use the Exchange address book (4) to search and select an E-mail address.
    9. If configured by your system administrator, you can also change the file name (5).



    You can use the Exchange address book as follows: (You have Pressed (4) in the previous screenshot).
    10. You can switch between the global address book or the contact list using the pull down button (in this screenshot the contacts are shown).



    11. Select the destination addresses.
    12. Press Add to add the selection to the sent queue.
    Note: You can also use the “magnifying glass” in the top right corner to search a contact if the list is very long.



    13. Press the green Start button or press Start scan. Thumbnails of the scan will display on the screen.



    14. Confirm your settings and press Send.



    15. Do not forget to log out!

  • With the Scan to Documents option, you can scan documents and save them directly in your local documents folder.



    1. At the printer, log in with your badge or PIN code.
    2.Choose the Scan function.
    Note: The screenshots used on this page may be slightly different from what you see on the printer.



    The scan profiles appear.
    3. Select My Documents.



    4. Place documents in the feeder or on the glass and use any required settings.
    5. You can change the file name (1) and the scan settings (2).
    6. Press the green Start button or press Start scan. Thumbnails of the scan will display on the screen.



    7. Confirm your settings and press Send.



    The document is scanned to your local documents folder.
    8. Close this screen.



    9. Do not forget to log out!



    You can find your scanned documents in your local “Documents” folder, within the subfolder “uniFLOW Online Scans”.

Copy

  • You can copy documents, using a printer connected to uniFLOW Online, as follows:


    1. At the printer, log in with your badge or PIN code.
    2. Select Copy.
    3. Place your document in the feeder or on the platen glass.
    4. Make any adjustments to the settings via the touch screen and enter the number of desired copies on the keyboard.


    5. Press the green Start button.
    6. Log out at the device when you've finished.

Mobile App

  • With the uniFLOW Online Print & Scan app on your mobile device, you can release your documents without touching the printer.



    1. On your mobile, open the uniFLOW Online Print & Scan app.
    Please refer to ‘Register your uniFLOW Online print and scan app’ within the ‘Getting Started’ section to find out how to install and set-up the app.


    2. Open My queue.

    The print job(s) will be listed in the print queue.
    4. Go to the printer.
    5. On your mobile, select the print job(s) you want to print.
    6. Press Release job(s).

    7. Scan the QR code on the printer.
    The printer starts printing your document(s).

  • With the uniFLOW Online Print & Scan app on your mobile device, you can print your documents from your mobile device.



    1. Open the uniFLOW Online Print & Scan app.
    Please refer to ‘Register your uniFLOW Online print and scan app’ within the ‘Getting Started’ section to find out how to install and set-up the app.


    2. Select “Print” from the bottom.
    3. You can now select the file or picture that you want to print.

    4. You can change the print settings (1).
    5. and add the job to the print queue (2).
    6. The print job is available on the printer. You can release the print job using Card, PIN, or QR code.

    You can also print a document using the “share” function within another app.

    1. Open the document, and find the “share” function within the app.
    Note: The share function might not be available in all Android or iPhone apps.

    2. Share the document with the uniFLOW app.
    3. Add the document to the queue (see previous steps 4,5 and 6).
    4. The print job is available on the printer. You can release the print job using Card, PIN, or QR code.
